How can I contact my tenants?
You can contact your tenant through the chat function of NRLA Portfolio.
The chat function allows you to message the tenant whilst keeping all correspondence in one place.
We recommend all correspondence is conducted within the chat; if you end up in a dispute with the tenant, the chat holds both parties accountable.
Occasionally tenants and landlords will reply to their chat email reminder, the reply button must be selected in order to direct your message to the right person.
What is an Announcement?
You can send messages called 'Announcements' via the Portfolio Platform, to some or all of your tenants or those within a specific apartment block or property.
Please note these are not legal notices and are just messages to the tenants.
What types of things would you use it for?
- If you’ve updated a keycode
- Are planning a fire alarm test
- Intend to carry out a property visit
- A contractor is coming
- You have a viewing appointment
How do I do it ?
All you need to do is click on the icon "create new" under Announcements and fill out all the relevant information.
Choose who needs to see it
Add any relevant documents - which is possible in many different formats
Click send - the message will then send to the selected tenants
You will then have a record of when the message was sent and who the message went to.
Note – Any official legal Notices - to end a tenancy, or to increase rent should still be carried out via official channels and if you are unsure please refer to the NRLA website or contact our Landlord Support Team for further information.
Can I remind myself to do things?
Using the tasks facility you can remind yourself of whatever you need to.
Use this as a to-do list for anything that they might have planned for the coming weeks or months, including any maintenance requests, application viewings and any other kind of reminders that they might want to add to the list.
Please note this is an internal view so tenants will not be able to view these tasks.
How to add a task:
-
Using the left hand side, locate the Tasks tab and click on ‘add task’
-
Or you can also do this from your dashboard
-
This will direct you to a pop-up requesting necessary details for the task. You can put the name of the task, a description and link it to the relevant property with a due date.
- This will add the task to your list of tasks in date order.
-
You will be able to locate your tasks on the calendar and the homepage with the management view
